At this year’s IBM TechXchange, our team at eCIFM Solutions had the opportunity to showcase how artificial intelligence is reshaping the way organizations manage their leases and contracts. It was energizing to engage with so many forward-thinking professionals on how AI can and has simplified processes that have traditionally required extensive manual effort.
The Challenge: Lease and Contract Complexity
Organizations often manage hundreds—or even thousands—of lease and contract documents across business units, regions, and asset types. These documents vary widely in structure and terminology, making them difficult to extract, interpret, and integrate into enterprise systems like Maximo for Real Estate and Facilities, IBM TRIRIGA, Archibus by Eptura, Workplace Service Delivery by ServiceNow, etc. Historically, this process required extensive manual review, introducing potential for error, inefficiency, and compliance gaps.
At eCIFM, we wanted to change that.
The Solution: AI-Powered Extraction at Scale
During our presentation, Using AI for Lease and Contract Extraction, we demonstrated how eCIFM leverages today’s large language models (LLMs)—including OpenAI, Anthropic, and Mistral—to accurately and cost-effectively extract key data points from leases and contracts under a “human in the loop” design.
Our approach focuses on three outcomes:
- Data Accuracy & Consistency:
AI enables fast abstraction while maintaining uniform field recognition across varied document types regardless of format. - Abstract Generation:
We automatically generate lease abstracts that summarize essential terms such as start and end dates, renewal clauses, financial obligations, and payment schedules. - Human-in-the-loop Design
The system has been designed to be an assistant to the lease owners who are required to review and approve abstractions before they can be uploaded to their system of record.
By connecting this AI capabilities to Maximo for Real Estate and Facilities, IBM TRIRIGA, and other systems of record, we enable organizations to streamline workflows from ingestion to reporting—saving both time and cost while reducing compliance risks.
Balancing Automation and Oversight
While AI does the heavy lifting, human validation remains critical. Our model prioritizes transparency and auditability, allowing legal and operations teams to review extracted data before it’s finalized in TRIRIGA. This “human-in-the-loop” approach ensures confidence in both the technology and the results.
Beyond Extraction: Building the Future of Intelligent Lease Management
The momentum we saw at IBM TechXchange reaffirms a broader trend: organizations are ready to embrace AI-driven operations. But the real opportunity isn’t just in automating data extraction—it’s in integrating AI into end-to-end processes that support decision-making, forecasting, and compliance.
At eCIFM, we’re continuing to evolve these capabilities so our clients can achieve greater insight, accuracy, and control over their real estate and asset portfolios.
If you couldn’t attend our session or would like a closer look, my team and I would be happy to share a live demo of our AI lease abstraction tool in action.
